UG Erasmus Studies General Information for A/Y 2024-2025
20th International Week

From November  the 6th to the 10th, 2023, the 21th International Week of the university Universitat de València will be held. During this week, the International Relations and Cooperation Service, in collaboration with all the Faculties and Schools of the Universitat, will inform all students about the exchange programs for international stays in the year 2024-2025.

This initiative aims to promote that our students performe a stay in Europe (Erasmus Estudis Program), in other continents (International Program) or in Spain (SICUE Program). Information will also be provided about the Erasmus Programme for Placements.

Grants

Students receive a grant that can change its amount every year. Information on grants can be checked in our website. Among other goals, the new programme aims to improve the quality and to enhance the linguistic skills of students. To this end, a series of measures have been planned, such as online language courses for students or the option to take (non-binding) assessments tests before and after the Erasmus stays. 

Requirements for participating in Erasmus Programmes

  • Applicants must be nationals of one of the countries that participate in the Erasmus Programme (the European Union Member States, Iceland, Liechtenstein, Norway, Turkey, North Macedonia and Serbia). Nationals of third countries also can participate if they have a valid residence permit for living in Spain during the mobility period.
  • Applicants must be enrolled on official undergraduate degrees studies of the UV, both when they submit the application form and during the stay in the host university.
  • Applicants must have completed 42 credits in the corresponding curriculum, at the end of the academic year 2022/2023.
  • Students who are beneficiaries of another mobility programme with the University of Valencia during the academic year 2024/2025 (SICUE or International Programme) cannot apply, excluding the Erasmus Programme for Work Placements.
  • Students must accredit their language level and be accepted by the host institution. Erasmus Studies language requirement.
  • Students may go the Erasmus programme more than once as long as they do not exceed 360 days in total. In the degrees of Pharmacy, Medicine and Dentistry, the maximum is 24 months per cycle but each mobility cannot exceed the 360 days limitation.
  • Students may need to meet specific requirements set by Faculties for their degrees. Sometimes partner universities have also specific requirements that should be fulfilled.

Selection criteria

In the Erasmus Studies programme, the Mobility Committee for each School or Faculty ranks candidates according to some previously approved criteria, which can be checked here. Among other criteria relevant to each school or faculty, these will include the students' average score after the academic year 2022-2023 and their participation in the Mentoring Programme for incoming international students. 

Possible destinations and duration of the stay

Mobility periods will be granted in accordance with the duration of stay established in the bilateral agreement between the Universitat de València and the host university. These can be checked in the list of destinations for each degree in the Student Services Website. Students can do 1st semester, 2nd semester or full-year stays.

Degree Mobility Coordinators

These are the lecturers who advise incoming and outgoing mobility students on the drafting of the study contract, the equivalence of grades and academic assistance.

Mobility coordinators per faculty

Each faculty has a faculty coordinator. This is normally the vice-dean for international relations. He/she is the head of each faculty in mobility matters.

In the event that there is a mistake regarding destination or period of mobility, the estudient have to contact his/her academic coordinator to ask for amendment.

Destinations must be accepted through ENTREU from March 27th on until April 28th through ENTREU, look for the procedure "Expedient Erasmus Estudis" . Acceptation is mandatory, otherwise the destination can be assigned to another student.

At the end you will get a receipt and your nomination bill. You must look for them at  "My procedures" where and you'll be able to get your nominating certificate and, eventually, the language score if you took the language exams at Centre d'Idiomes

Grants and financial support

Scholarships a/y 2024-2025

The Erasmus study program has monthly financial aid for students. These grants are assistance to cover accommodation, meals and travel of students participating in the program. The scholarship does not cover expenses in its entirety. In addition, students are exempt from any academic fees. Regarding administrative or examination fees students should be treated like local students. The receiving institution will guarantee access to laboratory and library facilities on the mobility period.

Scholarships European Union - Universitat de València

The most important financial aid received by students is that which comes from the European Union. The University of Valencia supplements this scholarship with funds from its own budget. The basic monthly amount of this scholarship is established based on the country where the mobility is carried out. The scholarship ranged between 210 and 310 euros per month. Students who have a general scholarship for university courses, disabled and refugee students receive a supplement of 250 euros per month. Disabled students must also apply for inclusion grant.

This scholarship does not have to be applied for. All students of the Universitat de València with an Erasmus Studies mobility grant will receive (without another request) the economic grant of the amount that corresponds to them. The Universitat de València does not award Erasmus Studies mobility scholarships without financial endowment. Nor does it grant economic scholarships if the students do not physically travel abroad.

This scholarship is compatible with the general scholarships for studies that are announced each year by the State Administration and the Generalitat Valenciana. Students must apply for these scholarships also the year they are Erasmus Studies.

Erasmus Grant for sustainable travel 

Students who opt for a "sustainable travel" to the destination university may apply for additional assistance. Sustainable travel is defined as sustainable transportation, in which low-emission means of transportation are used for most of the journey.

Santander Erasmus Scholarships

They are financial aid funded by the bank Banco de Santander for students who have an Erasmus mobility grant awarded for the 2024-2025 academic year.

Three types of scholarships

  •   A scholarship of 1.000 € for the student that has a general scholarship of the Ministry of Education for higher education in the year 2023-24 and has the best weighted overall score in their transcript of records at the end of year 2021-2022.
  •   A scholarship of 1.000 € for the student who has the best weighted overall score in his/her transcript of records at the end of year 2022-2023 among those who prove a recognized disability equal or greater than 33%
  •   Seventy-seven (77) scholarships of 500 € for students and students with the best weighted average student score at the end of year 2022-2023. Priority will be given to those who hold a grant for higher education awarded by the Ministry in the year 2023-2024

Students must register to Banco de Santander through the platform santanderopenacademy.com. Deadline for registration: 1st April, 2024.

There is no need to attach any documentation. Students who consider that they meet the disability requirement to opt for the scholarship of 1.000 €, must tick the relevant case in their application to Banc de Santander. Documentary evidence will be ask to the beneficiary.

The weighted overall score is calculated as the difference between the overall score of the student's academic record and the average score of their degree at the end of the 2022-2023 academic year. The overall score of the academic record of the student is published in the Erasmus call for studies for mobility in the 2024-2025 academic year.

Students who have a recognized percentage of disability equal to or greater than 33% can apply for Inclusion Support Grants based on the actual cost credited with invoices.

Students who suffer from any physical, mental or health condition can also benefit from this aid.

Generalitat Valenciana Erasmus Scholarships 

The Generalitat Valenciana has published in the DOGV on December 9th, 2022, the call for grants to complement scholarships for student mobility activities for studies of the Erasmus + program for student mobility of students in the 2021-2022 academic year.

Students should not submit any application. The universities are in charge of sumitting the relevant information of the students that fulfil the requirements of the call. Subsequently, the Conselleria de Universitats will publish a resolution with the list of applicants awarded students.

  •   A scholarship of 2.000 € for the student that has a general scholarship of the Ministry of Education in the course 2021-22 and has the best weighted overall score in his/her transcript of records at the end of year 2020-2021.
  •   A scholarship of 2.000 € for the student who has the best weighted overall score in his/her transcript of records at the end of year 2020-2021 among those who prove a recognized disability equal or greater than 33%
  •   One hundred (101) scholarships of 500 € for students and students with the best weighted average student score during the 2020-2021 academic year.

  • Accept the Erasmus Studies grant (from April 1st to April 30th)  through the application Entreu. You have to enter in the "Procedure Erasmus Studies” and fill in the several tabs. You will only need to include: the 24 digits (IBAN) of your bank account (of which you have to be the holder) where you want to cash the grant and the personal data of the person we have to contact with in case of emergency. When finishing the acceptance, you will receive a pdf document with the receipt of acceptance and another pdf document with the official appointment of the allocated Erasmus Studies place and, if appropriate, the certified of having passed some of the languages exams you sat on line for, in December 2021, at the Centre d'Idiomes.

How to get the acceptance documents

  • Formalise your Learning Agreement (L/A) with the Mobility Academic Coordinator. You can find the list of academic coordinators at this link http://ir.uv.es/j3n0eh1. The contract contains the subjects list that you will carry out abroad and the recognition of subjects you will get in your degree. You have to fill in the Learning Agreement online through the Portal Serveis Estudiant. Once you have made your Learning Agreement’s proposal, your academic coordinator will have to validate it (close it). Only if the L/A is closed by your coordinator, you can print a copy (button “Imprimir Inicial”). You need to develop the Learning Agreement, and your academic coordinator must close it before 15th of July. Otherwise, you could not carry out the self-enrolment. Before leaving to your destination, you have to submit a copy of the Learning Agreement signed (scanned signatures are allowed) by the student, the academic coordinator of the Universitat de València and by the coordinator of your host university, together with the Grant Agreements (see below).

  • Online Learning Agreement (OLA). The Erasmus Spanish Agency (SEPIE) has postpone the new OLA until December 2022. In case you are requested to fulfil the OLA, please forward the e-mail (full e-mail, not just the address) to erasmus.estudis@uv.es.
  •  Mobility Grant Agreement for Erasmus students. Already available!!   (pdf Document) ----- (word Document). Personal data and banking account must be filled out in the first page and then the signature is required in the fourth page.  It is a document with the administrative and finance data of your grant. You must print the document and signed it. Because of Covid-19 it has been decided not to submit hard copies but the student must save it for future reference. The Grant Agreement must be uploaded through ENTREU, accessing "My procedures" once the previous-done acceptance has been validated.

  • Mobility Grant Agreement for Erasmus students visiting United Kingdom have to submit the 2020-2021 Mobility Grant Agreement Form.
  • Online Language Support "OLS" (previous test). NOT AVAILABLE. The European Union computer application is not operational yet. You will receive information once it is available. You can visit the platform at https://academy.europa.eu/
  • Erasmus Studies Self-enrolment in international credits. Before you go you have to formalise your self-registration in the Universitat de València. Once carried out the Learning Agreement and after your academic coordinated has closed it, the international credits will appear on your self-registration. The self-registration will indicate the total amount of credits of the subjects of the Universitat de València you fulfilled in the Learning Agreement. Also, you can enrol in other subjects to take on the Universitat de València (specially on semester cases), respecting the number of maximum credits according to the enrolment regulations. You can self-enrol in accordance with your enrolment date, as it occurred in prior courses. It is expected that the self-enrolments are carried out through the Portal Serveis Estudiants before July 18th.

  • Online Languages Courses. Tests and courses

The initial test is still mandatory for all Erasmus students in the 22-23 year (including those going to the UK); the course remains voluntary. The final quiz has disappeared. The computer application has been changed, it is not linked to any license or invitation email.

  • STEP 1: Create an account (profile, user) “EU Login” (known as an ECAS account) in a European Union application.
  • STEP 2: Register in the EU ACCADEMY application
  • STEP 3: Access the OLS in the Restricted Area (“Core restricted area”)

In relation to the OLS, it is not necessary to upload any document to Entreu or to notify the result.

  • Visa. If you are visiting United Kingdom or Turkey you will need a passport and a visa. If you are not and EU national visiting any country, you will probably need a visa, contact the embassy of your destination country. Check the information below under "Other"

2Upon your arrival to the host university
  • Certificate of Arrival. It is the first document you will receive when arriving to the host university. To send it to the International Relations Service, you have to enter at ENTREU and look for "My procedures" and attach a copy of it within the procedure “Erasmus Studies Procedure”, the same procedure you used to carry out the acceptance of the grant. Save the original as proof. The processing of the first payment of the grants will be carry out following the order of reception of this document.

  • Changes to the Learning Agreement. Changes are only necessary if the courses previously stated in the L/A change. You have to complete the proceeding through the Portal Serveis Estudiant so that the modifications are reflected on the academic record. It is necessary to request it once you are in your host university and within 5 weeks after the beginning of the classes. Once the changes have been requested through the Portal Serveis Estudiants, your academic coordinator have to close the contract so that you can have a printed copy where the modified courses and the correspondence table will be shown. This document shall be signed by you, by your host Coordinator and your Mobility Coordinator at the Universitat de València (signatures can be scanned). It is very important that you keep a signed copy of all the modifications that you make, as you will have to submit it to the International Relations Service, when you come back, as it is shown below. The changes made before October 5th produce an updated "Initial Learning Agreement" that substitutes the former agreements. On October the 5th the current Initial Learning Agreement becomes fixed. From that date on the changes produce a "Learning Agreement for Changes" that only show the courses that have been added or deleted. Later changes produce updated "Learning Agreement for Changes" that substitutes former L/A for changes. Remenber to signed (student and both academic coordinators) and upload the Learning Agreement for Changes (during) to the application "Entreu".

Important: We cannot deposit the first payment of the grant if a part of the above mentioned documentation is missing.

  • Application for stay extension. The extension turns a first semester stay into a full academic year stay. It implies academic impacts but not economic recalculation. That is to say, during the period that you extend (second semester), you will not receive financial support. Apart from presenting this form correctly completed on erasmus.estudis@uv.es, it is necessary to modify the Learning Agreement within the above mentioned terms. In any case, you should submit the application one month before the ending of the original stay.
  • Application to shorten your stay. We will only consider reduction applications received before December 31st. Apart from presenting this form fully filled in to erasmus.estudis@uv.es, it is necessary to modify the Learning Agreement within the above mentioned terms. 3Upon your return to Valencia.
  • Attendance Certificate. It is the last document that you will receive in the host University. It contains the starting and the completion dates of your stay and it is needed to proceed with the last payment of the grant. It must be submitted as a pdf file through the on line application ENTREU, look for "My procedures" in "Procedure Erasmus Studies", along with the Learning Agreement. Both documents should be uploaded in the same session. It is important that you keep the original as a receipt and that you take into account the instructions about the dates and correction prohibitions that are shown at the bottom and reverse.
  • Final Student Report (UE Survey) It is an assessment questionnaire about your Erasmus stay. The report shall be completed online through the computer application provided by EACEA (Education, Audio-visual and Culture Executive Agency), responsible for the Erasmus programme. You will not receive the invitation until your stay is over and you have submitted the attendance certificate. Once you receive the invitation, which will be sent directly through the online control system of the Erasmus Programme (Mobility Tool) to the university email of the student. You will have to make the report within the specified deadline.
  • Online Linguistic Support (final test). NOT AVAILABLE

Important: We cannot deposit the second payment of the grant if a part of the abovementioned documentation is missing. Also, you have to pass at least the 50% of international credits you have enrolled in the Universitat de València. The objective of the mobility programme is obtaining an academic achievement, so that is why you receive the grant. If you do not pass the 50% you have to reintegrate the amount received in compensation for the grant.

  • Withdrawal. If you need to withdraw from the mobility programme, send this document to erasmus.estudis@uv.es 
  • Change Bank account form: If you need to change your account number, fill out this form and send it to the pagos.erasmus@uv.es address along with a copy of the book or similar document showing all 24 digits, from your university email.
  • Authorization Leave a signed authorisation to a person you trust. You can carry out the proceedings before the University when you are abroad.
  • Once at the destination country, register in the closest Spanish Embassy or Consulate. Visit the web of the Ministry of Foreign Affairs

  • If you travel to Turkey you will need to obtain a visa before the Turkish embassy or consulate.
  • If you are student of the Universitat de València with an accepted Erasmus Studies stay and you have also the nationality of a country that does not belong to the European Union, you will need a visa. Consult with the embassy of your country and with the embassy of the country you are travelling to. In any case, know that Directive (UE) 2016/801 by European Parliament and Council, issued on May 11th, 2016, compels the host country to facilitate you the proceedings.
