2. Before you go

Once you have made your Erasmus Internship application, if you are awarded the scholarship, you must complete the following procedures:

a) Accept the Erasmus Internship Scholarship: acceptance must be carried out through the electronic processing environment UV Electronic Office through "my procedures" and selecting the procedure "Erasmus Internship File". More information here. At the time of accepting the scholarship you must do the following:

Indicate the digits of the checking account, including the IBAN code, of which you are the owner or joint owner.
Communicate the details of a person we can contact in case of emergency.
Upon completion, proof of acceptance will be generated. When it is validated, you will receive a notification from which you can download a certificate/nomination of the awarded Erasmus Internship scholarship.

b) After accepting the scholarship:

Grant agreement in format: it is a document with administrative and financial data (of the scholarship) and your signature. You will receive this document already filled out with your information by email after accepting the scholarship at the UV Electronic Headquarters. You have to sign it and send it following the instructions that we will give in the email. You must also keep it in case we request the original of this document from you later.
Erasmus Charter: in this document, which is part of the Grant Agreement, you can find out about your rights and obligations as a participant in the Erasmus program.
b) Online Lingustic Support (initial language test). In the Erasmus+ program, students participating in an internship mobility action can take an initial language knowledge test before joining the company and a course in the selected language during the mobility. Below you can see how to register and access the OLS platform:

Online Linguistic Support "OLS" Initial Language Test and Language Course.

Both the initial pot and the course offered are voluntary and you can choose the Erasmus+ language you want. The computer application has been changed, it is not linked to any license or invitation email.

These are the steps you have to follow:

STEP 1: Create an account (profile, user) “EU Login” (known as ECAS account) in a European Union application.
STEP 2: Register in the EU ACCADEMY application
STEP 3: Access the OLS to the Restricted area (“Core restricted area”).
You have more information with links, instructions and tutorials by clicking here.

In relation to the OLS, it is not necessary to upload any document to the UV Electronic Headquarters nor to communicate the result to us.

c) Medical, civil liability and work accident insurance: the International Relations Service will be responsible for managing the insurance of all beneficiaries of the Erasmus Internship scholarship. You will receive proof of insurance by email before the start of your practice. You can consult the insurance policy documents here:

Action protocol
Generic certificate
Policy extract
If you have any questions about your insurance policy, you should contact the following email:  erasmusuv@seguronline.com

On the other hand, you need to apply for the European Health Card on your own.

d) Register in the Traveler Registry and in the Consulate or Embassy of Spain closest to the town where you are staying. Read the information published in the link below to learn the advantages of performing this procedure. Click here.

3. When you arrive at the host institution

Confirmation of incorporation. You must upload it scanned through "my procedures" of the UV Electronic Office in the "Erasmus Internship File" procedure. Save the original document, which we may require at any time during the procedure.

Addendum for modifications to the internship agreement. You must complete this document only in the event that important changes occur (period, tasks, tutors, etc.) in your internship in relation to what was initially reflected in your internship agreement so that the changes are reflected in your file.

When the modification refers to an extension of the internship period, in any case the communication of the change must be made, approved and signed at least 10 days before the end of the initially planned period.

The annex will have to be sent by email (practiques@uv.es) with the approval of the coordinator and the company.

Important: To receive the first payment of the scholarship you will need to have submitted all the previous documentation. The processing of payment of the scholarships will be done in order of receipt of the certificate.

4. When you return:

Certificate of stay: you have to upload the scanned certificate of stay, duly signed and with the seal of the host institution showing the months of the stay, through "my procedures" of the UV Electronic Office in the "Erasmus Internship File" procedure. . Important: the date of signing the certificate of stay must be equal to or later than the last day of the internship period.

It is very important to take into consideration the warnings about dates and prohibition of corrections that appear at the bottom of the document.

UE Survey: once your stay ends, the European Union will send you an email message so you can fill out and send an online questionnaire.

Payment of the second installment of the scholarship will be processed upon sending, by the student, the UE questionnaire and the certificate of stay.
