The Universitat de València, through the Office of the Vice-Principal for Digital Transformation, has created guidelines for the use of artificial intelligence (AI). This document includes suggestions and general principles for the university community to learn how to use of these tools responsibly. Besides, it is included in a strategic framework that already has an AI infrastructure for the servers of the Universitat and, it will soon have a Strategic Plan for its implementation.
Firstly, the Universitat de València worked on these guidelines, specially addressed to teaching and researching staff (PDI), and administration and service staff (PTGAS). The guidelines constitute the starting point of a broader strategy that will be in development for the following months.
Among the initiatives already under way is the deployment of an artificial intelligence infrastructure on the Universitat’s own servers, aimed at strengthening digital sovereignty and protecting institutional information. The implementation started with a pilot project, which was developed by the Language Policy Service for linguistic advice in Valencian, Spanish, and English.
Additionally, the Universitat is working to set agreements with generative artificial intelligence tool suppliers, with the aim to make it easier for the university community to have access to conversational assistant licenses, AI agents for programming, tools for research, etc. This initiative intends to simplify the acquirement processes, to offer more beneficial conditions, and to promote using these tools with the proper institutional guarantee.
Regulatory framework and training in the service of the university community
At the same time, the Office of the Vice-Principal for Digital Transformation studies the strategic lines that will mark the development of the institutional policy on artificial intelligence. Among them, is included a Strategic Plan for the implementation of Artificial Intelligence, as well as a regulatory framework that sets common criteria for the use of these technologies within teaching, research, and management.
The strategy also considers developing training programmes addressed to all the university community in order to promote an effective and responsible use of artificial intelligence, as well as adapting academic regulation to the new scenarios that arise out from the use of these tools in the learning and teaching processes.
With these measures, "the Universitat de València progresses in the development of an institutional strategy for the responsible inclusion of AI in teaching, research, and university management. This strategy intends to provide the institution with a common frame that allows to make benefit from the opportunities offered by these technologies, guaranteeing an ethic and safe use that is line with the public university values.”, explains the Vice-Principal for Digital Transformation, Inmaculada Coma.
As part of this process, the Universitat named Joan Vila, professor of Electronic Engineering and expert in data science, as the delegate for Artificial Intelligence and Data Government, a new position that comprehends coordinating the operations related to AI management, the development of institutional policies, and the data strategic management.
Vila reminds that all the university community already has an institutional license for Microsoft’s Copilot Chat, whereas, in turn, the Universitat de València has just subscribed to Google’s Workspace Education Fundamentals for PDI, PTGAS, and students. “It is Google’s online academic suite that includes Drive, Documents, Spreadsheets, Presentations, Calendar, and functions of management and safety, in addition to AI services,” indicates.
With these procedures, the Universitat de València starts a transforming process that will allow to include artificial intelligence progressively, so as to guarantee the protection of data, the quality of services, and the commitment to a technological innovation process in the service of the university community.
