Services Charter

The Institutes Support Unit gives administrative support to the affiliated Research Institutes and Interdisciplinary Research Structures and serve as a link between researchers and the administrative and economic central service.

This unit carries out various functions in the following areas: 

Administrative and economic management:

  • of projects, contracts and research agreements
  • of regular and research budgets of Institutes
  • of the expenses of the Institutes Support Unit and of the building of the Institutes.
  • of Conferences and Congresses
  • of doctoral programmes affiliated to the Institutes

This management implies:

  • the receipt and custody of the documentation related with the activities managed: copies of the agreements and formalised research contracts and of the resolutions of the grants received.
  • the verification of credit intakes.
  • the receipt of invoices and receipts of costs
  • processing of additions of third parties in the SICUV
  • the elaboration of the files related to the expenditure of: 
    • secondments (travels of researchers)
    • pay files in foreign currencies (foreign third parties)
    • bonuses to external staff for teaching lectures or courses.
    • compensation bonuses to the staff linked with UV (through payroll)
    • internal compensation vouchers (payments for services rendered by other unit of the UV)  
  • the processing of expenses by fixed cash (payment of expenses and its monthly justification)
  • administrative support to prior auditing processes carried out by the Internal Control Office related to the announcements for the awarding of subsidies and awards, as well as the economic management derivated from its awarding and consequent liquidation
  • the accounting in SICUV of the corresponding accounting operations
  • the record of equipment and items that may be inventoried (additions and removals from the inventory)
  • support on the management of open bank accounts for registration to congresses
  • sending to the SCP of credit transfer requests
  • information and advising on general and specific budget implementation legislation, applicable to each particular grant, depending on the different calls.
  • administrative support in the processes of justification of the grants received
  • the filing and custody of the files processed
     

Administrative support of the selection processes for contracted staff funded from the budget for research projects and agreements and/or from the budget of the institute itself

  • to inform the responsible of the funds of the implementing regulations and its procedure
  • receipt of applications of candidates
  • administrative support to the corresponding selection committees
  • preparation of the relevant documentation and its processing to the Central Services
     

Support to the process of preparation of the Annual Research Report of each institute

  •  information for researchers about the instructions for entering data in the GREC
  • receipt of documentation accrediting the scientific production of each researcher
  • organisation of the documentation received and its transfer to the appropriate Office of the Dean
  • distribution and economic management of the FIU funds received according to the criteria established for each institute


Support to the ordinary management for the operation of each institute

  • attendance to the meetings of the Council
  • processing of hiring and downsizing of the members of the Institute
  • administrative support of the electoral processes both of the members of the Council and of the Director of the Institute
  • preparation and processing of the documentation addressed to bodies and/or services of the UV
  • management of distribution lists of members of the institute
  • management of subscriptions and cancellations of mobile and land telephones
  • management and registry of correspondence
  • filing and custody of documentation
     

Management of the maintenance and operation of institute buildings

  • management of the opening and closing of the building
  • management of bookings of the seminar rooms
  • management of computer incidences in the seminar rooms
  • processing of maintenance reports of the facilities
  • management of the acquisition of material and equipment
  • management of the access systems to the car park of the building
  • users assistance

Management and assistance to research institutes in the work of distributing their activities

This task involves the following:

  • advice and assistance to schools in developing their corresponding dissemination plans.
  • development of information materials and dissemination of the activities of each institute and distribution through the communication channels of the University.
  • call, organization and management of press conferences on the activities of the institutes.
  • advice and assistance to secondary schools in the university extension activities channeled through Nau XXI programme.
  • advice and assistance to institutes in organizing events on their activities.
  • technical assistance to those in charge of the secondary schools for the elaboration of opinion articles.
  • advice and assistance to institutes in matters of publishing.
  • advice and assistance to institutes in their dealings with the media.
  • advice and assistance to management institutes in their respective marks.
  • advice and assistance to the management of USI in the tasks related to corporate identity (labeling facilities, use of the mark…).
  • advice to institutes in redefining and building their respective websites.
  • advice and assistance to institutes in the definition and use of their custom map.
