Procedure for requesting and issuing authentic electronic copies

Procedure for requesting and issuing certified true electronic copies

The Universitat de València issues certified true electronic copies of official degrees, university-specific degrees and official documents issued by the Universitat de València after 1988 and 1989 for degree holders and doctors respectively, provided that the originals are held by the applicant.

Certified true electronic copies must be requested by the holder of the documents, either electronically or in person.

The issue of certified true electronic copies by the Universitat de València is subject to a fee equivalent to that charged for certifying copies of documents. This fee must be paid through a bank using a payment slip generated by the General Registry Office. For the current academic year, the fee is €9.62, in accordance with Decree 101/2024 of 2 August of the Regional Government, regulating fees for university academic services for the 2025/2026 academic year.

Once payment has been made, a copy of the proof of payment must be sent by email to registre@uv.es. Upon receipt of the proof of payment, the applicant will receive the certified true electronic copy of the requested document at the email address provided in their contact details.

1. Electronic application

  1. 1. Requirements
    1. Identification using a digital certificate, electronic ID card (DNIe), UV user account or e-Office account.
    2. Submission of the following documents:
    3. A scanned copy of both sides of the applicant’s ID document in PDF format, in order to verify the ID number, name and surname(s), and date of issue and expiry. Applicants may anonymise or conceal any other information appearing on the document, if they wish, as such data will not be processed.
    4. A scanned PDF copy of the front and back of the original document (degree certificate, academic certificate, etc.) for which the certified true electronic copy is requested.

The copy must not contain any marks that are not present on the original document. Photographs of documents will not be accepted.

Applicants entitled to a fee reduction as members of a general-category large family must attach documentary proof of this.

  1. 2. Application process

Applications must be submitted through the following link on the Universitat de València Electronic Office.

Log in using your UV user account, e-Office account or Cl@ve system credentials. Under the General tab, select Type of organ: Gerència, and Body: Registre General. Enter the required information and complete the Statement and Request tab.

Under the Attached files tab, upload the PDF copy of the document (degree certificate, academic certificate, etc.) and of your ID document.

The system will then display a preview of your application in PDF format. Review the information and sign the application online by clicking on the Sign button.

Your application will only be considered validly submitted and processed by the Universitat de València if you complete the signing procedure correctly. Once the process has been completed, you will receive a receipt for your application.

2. In-person application

2.1. Requirements

Applicants must have the original documents issued by the Universitat de València for which they wish to obtain certified true electronic copies.

2.2. Application proces

Go to the Registry Assistance Office located in the Rector's Office Building at Avinguda Blasco Ibáñez 13, Level 1, 46010 València, and bring your valid ID document and the original documents (degree certificate, academic certificate, etc.) issued by the Universitat de València for which you wish to obtain certified true electronic copies.

The staff of the Registry Assistance Office will copy or digitalise the documents provided and return the originals to the applicant.

Once your application has been received, UV staff will verify the authenticity of the documents provided with the body, service or unit of the Universitat de València that originally issued them or, where applicable, with the body, service or unit currently responsible.

Once the authenticity of the documents has been confirmed, a payment slip for the corresponding fee for each copy requested will be sent to the email address provided in the application. The fee may also be paid by card through the UV Electronic Office (see instructions).

After payment has been made, a copy of the proof of payment must be sent to registre@uv.es.

The certified true electronic copy will be sent to the email address provided in the application.
