Event and congress organisation

At ADEIT we count with a team that is highly specialised in organisation and congress and scientific meeting management, supported by an active solid network of collaborating entities. Our trajectory of more than 25 years in organising national and international congresses backs us and enables us to offer a service which is rigorous, flexible and fully adaptable to your needs in any event with the objective of always guaranteeing your success.

We take care of the congress organisation in in-person modality, but we also have the technology and the needed resources in order to apply streaming and hybrid formats to guarantee a quality experience both for attendees and for online participants. If wanted, we assume the comprehensive congress management, taking care of any detail of the process: from planning and coordination to logistics and participant services. This comprehensive approach enables us to minimise risks, to optimise resources and to anticipate any eventuality, providing tranquility and trust in the organisers.

 Furthermore, we organise the congresses in our venues, ADEIT Space, a perfectly equipped modern space, as well as in any other chosen headquarter, always adapting us to the specific characteristics and requirements of each scientific meeting. All of that is done respecting a solid commitment with sustainability, thus, applying responsible guidelines in event management and following the directives of our sustainability guide to reduce environmental impact and to encourage more conscious practices.

Services that we offer

Preparation of applications

As a destiny expected to be accepted by the congress, we will guide and accompany the Organising Commitee from the start supporting the preparation of documentation that is expected to be submitted for the application and gathering the necessary institutional support.

Choosing, booking and managing the venues that best suit the event needs (congress venues, venues for functions and social events, etc.).

Online platform for the management of activities

  • Web page. Different criteria of use, personalisation of the web page, document management.

  • Application management module. Application management, sending of certificates and invoices online. 

  • Scientific secretary management module. Self-management by the Scientific Committee.

  • Online congress modality. Possibility of hybrid and online congresses.

General counseling, technical secretary, budgetary and financial control

Continuous counseling, smooth contact with the organising committee and the rest of committees, viability studies, budgetary control, expense management according to LCSP (the Public Sector Contracts Act), customised management og sponsorships and subsidies, design og the social and accompanying programme, protocol assistance, statistics and surveys 

Graphic design and media outlets

Scientific secretary

Assistance to the Scientific Committee with the reception of talks and communications, work revision and assessment, result communication, notifications and presentation at the venue. Assignment of different roles and permits.

Administrative secretary

Management of the income from the applications, invoicing, receipt, balances and settlement of activities.

Commercial secretary

  • Plan and dossier of commercialisation on contacts of the Organising Committee.
  • Management of Aids and subsidies.
  • Contact with the companies, organisations and sponsoring and collaborating institutions.
  • Proposal studies.
  • Composition on contract and exposition regulation.
  • Contract management .
  • Individualised attention to sponsors and speakers.
  • Management of the venue needs.

Assistance at the venue

Organisation of the credentials and of documentation at the venue, assistance to the people enroled, capacity control, coordination of the support staff and the venue staff, coordination of the rest of ancillary services.
