The Online Office of the Universitat de València is the electronic address available to members of the university community and to any other citizen through which information, procedures and services of the Universitat de València can be accessed.

The Electronic Office will be permanently available all day and all year, without prejudice to any necessary technical interruption, which will be notified to users on the webpage of the Universitat de València and on the Online Office as soon as possible, while always specifying the availability of other UV alternative enquiry or access means.

Through the Online Office you can access information on the services and procedures of the University of Valencia, make enquiries about the status of the processing of files, initiate procedures, submit documents to the General Electronic Registry, access the Suggestions, Complaints and Compliments Mailbox, as well as consult the publications in the Official Electronic Bulletin Board of agreements, resolutions, communications or administrative acts, as well as other official information.

Access the UV Online Office operating manual

If you don’t possess an electronic certificate, nor a Cl@ve system to make requests in the UV’s ONLINE OFFICE, nor an UV user email (PAS, PDI and students), you can sign up via the electronic request form: 

1. Click on the main header image “UV Electronic Office”
2. Click on the “My procedures” icon
3. Select “Office User”
4. At the bottom, you will see a link that says "Request access". Click on it. 
5. The system will provide you with a form that must be filled out and submitted to the system itself. Some minutes later, you will receive a mail inviting you to conclude the sign up process by activating the account that you indicated.

Be reminded that entered data such as NIF, name, etc., must be real, since it will be used for future requests. You decide which email address will be the one used for access. This will be the account receiving the above-mentioned mail to complete the sign up process.

You will also have to select the password (access key). Said password will be encrypted and saved on the database. Should you forget the password, it will be possible to recover the access key; in such cases, the system generates a random key, since the system can’t recover the one you indicate. Then, the tabs to be filled out are shown.

Be reminded that it’s compulsory to fill out the fields marked with a * during the completion of this or any other form of the UV’s Online Office.

The next tab is where you have to enter the chosen access data. As mentioned above, the email address must be valid. The system checks if it has already been used. Should this be the case, you will have to use the password recovery option. 

Once here, the last tab contains the button to send the form, for which you’ll have to read and accept the conditions of use as indicated. You’ll first have to enter the characters indicated in the image, a measure preventing unnecessary sign up procedures.

After pressing “send”, the system will take you to a tab confirming the reception of the request. Check the email account associated with the address you indicated in the request; you will receive a mail containing a link and by clicking on it, your account will be activated and you will be able to start using the UV’s Online Office, accessible with your provided data.

In order to see the detail of the digital certificates admitted by the UV Online Office go to the "UV Online Office" menu and select "Identification and electronic signature".

The Online Office allows 4 types of authentication to be able to request electronic procedures:

Electronic certificate

When you log in with an electronic certificate, in your "file history" you will find all applications made with this type of authentication + those of generic user of the university + those made by Cl@ve.

You can access with a certificate whether you belong to the UV university community or not.

The only requests not visible will be those made by you as a "Online Office user".

Generic user of the University

If you belong to the UV university community, you will have been given a UV email username and password. If you have more than one type of email account, for example one as a student @alumni.uv.es and another as a worker @uv.es, remember that to make the application correctly, you must choose the one required according to the requirements of the procedure to be applied for.

When you log in as a member of the university community, in your "file history" you will find all the requests made with this type of authentication and those made using Cl@ve or electronic certificate.

The only requests that are not visible will be those made by you as a "Online Office user".

Cl@ve System

This is the electronic identity for administrations. You can access the Cl@ve system whether you belong to the UV university community or not.When you log in as a member of the university community, in your "file history" you will find all requests made with this type of authentication and those made as a generic user of the university or by electronic certificate.

What is Cl@ve and how can I obtain it?

The only requests that are not visible will be those made by you as a "Online Office user".

Online Office User

When you have logged in with an email address then requests made from this type of access will only be visible from your email address. E.g. if you logged in as a "Generic user of the University" you will not be able to find in your file history the files you have made as a "Online Office user" and vice versa. These accounts are mutually exclusive.

Therefore, if you belong to the UV community we recommend you to use any of the other three options.

If you’re interested in obtaining a digital certificate, be reminded that the UV issues digital certificates of the Agencia de Tecnología y Certificación Electrónica de la Comunitat Valenciana (ACCV). You have to personally go to the General Registry office (Office of the Principal) or to Auxiliary Registry offices and identify with a valid ID, EIN or passport. The certificate is issued on the spot and it’s given before the corresponding contract’s signing.

If when you try to access the application you are returned to the identification page, this is because there are applications that require you to identify yourself with at least a generic user of the University. A user of the Online Office cannot access the procedure.

You must choose the second level and enter the data with which you access your intranet: your username (equivalent to the name to the left of @ in your UV email) and the password associated with it.

If you still cannot access, it is possible that the procedure requires a higher level of authentication such as digital certificate or cl@ve.

In its Second Additional Provision, the “Law 6/2020, November 11^th, regulatory of specific aspects of trusted electronic services” establishes that all electronic identification, signature and seal systems included in the “Law 39/2015, October 1^st, on the Public Administrations’ Common Administrative Procedure” and in the “Law 40/2015, October 1^st, on the Legal Regime of the Public Sector” will have full legal effect.

The “REGULATION (EU) 910/2014 OF THE EUROPEAN PARLIAMENT AND THE COUNCIL of July 23^rd 2014 on electronic identification and trusted services for electronic transactions in the internal market and for which the Directive 1999/93/CE is repealed” establishes that a qualified electronic signature will have a legal effect equivalent to that of a handwritten signature (art. 25.2).

If you want to attach documentation to a request, please follow the steps below:

1- Access "My procedures" and find the file at "Academic records history".

2- For each of the files you want to attach:

Search for your request (probably the first one if it was the last shipment made) and display the "Actions" option on the same line.

• Select "Attach".
• Attach the documentation.

• In the field of observations, describe the documentation provided.
• Send

If the option to attach is not available, you must contact the Centre responsible for your request.

Use this help only if you cannot withdraw from the application.

If you wish to cancel an application, please follow the steps below:

1.  Create a text document (a .doc or a .txt, for example) and indicate the reason for the cancellation in it. You can attach a proof of the cancellation.
2.  Access your personal site and search your file history.
3.  Find the request you want to cancel and display the "Actions" option on the same line.
4.  Select "Append".
5.  Attach the text document created in point 1.
6.  In the field of observations, explain that you wish to desist.
7.  Click "Send".
8. The processors of the form will answer you with the subsequent management.

Access the Office’s homepage by clicking on the header image “UV Online Office” and go to the start menu.

Then, you’ll be able to search the procedure you wish to make the request with from the menu located below the header or by clicking on the “My procedures” icon. 

Once the procedure is selected, all the authentication modes will appear. 

It’s very important that you choose the correct authentication mode based on the procedure type to be requested: “Electronic certificate”, “Generic University user”, “Office user”, “Cl@ve system”. 

Now, choose the option required for authentication. Let’s suppose a generic UV user (Students, PAS, PDI) wants to carry out access: Introduce your university username and password. This data is provided upon employment (PDI, PAS) or enrolment (students). Click on the “Access” button. E.g., the “Conversation groups” form is shown this way:

Click on “Access procedure”.

Now, the form will open. 

Fill out the required data in each of the form’s tabs. Start from left to right.

From the “Finish” tab, specify if you accept or decline to receive electronic notifications about the request you just filled out. Since it’s about the Online Office, we suggest you select “Yes” and add a preferred contact email.

This email will only be used for communications and notifications about the request. It won’t be used for commercial advertisements or for any other purpose.

If you wish to receive more information on the call, contact the department or service responsible for the procedure. Contact data usually appears on the procedure’s “Information” tab.

Acces the icon ‘My procedures’

If you do not see it, you can go to the Online Office main menu by clicking on the header image ‘online officeuv’ to browse it from the beginning.

If the system asks you to authenticate, do so in the same way you made the request.

Click the icon ‘History Records’

Find the file you need to check. It should be sorted by most recent date.

If you scroll down the ‘Actions’ option on the same line, and select ‘View details’, you can check the details of your application.

The payment gateway of the Electronic Office of the University of Valencia admits all types of VISA, MASTERCARD, EUROCARD and MAESTRO bank cards.
If you have not been able to make the payment with your card, there may be several reasons for this:

• The bank issuing the card does not have an agreement with the European banking system,
•  Insufficient balance, 
• The card is identified as lost or stolen, 
• Other types of situations.

We recommend that you check whether your card meets all the requirements and, as an additional measure, try to make the payment with another card from another bank.

The card with which you make the payment does not need to be in your name for the transaction to be valid.

You can view the status of your receipts in the 'Receipts' icon of your 'Personal Site'. 

Find the receipt to be paid and click on "Actions" if you wish to perform a payment action.

If you wish to modify your application, please follow the steps below:

1. Create a text document (a .doc, for example) and indicate in it the changes you want to make to your application.
2. Access your personal site.
3. In your list of completed submissions, find your application and develop the "Actions" option on the same line.
4. Select "Attach".
5. Attach the file from point 1.
6. In the remarks field, explain that you are requesting that incorrect information in your application be amended.
7. Click on "Send".

The processor handling your application will modify the details of your application. Unfortunately, these will not be reflected in your PDF proof (as this has been generated earlier in the modifications). However, don't worry, if necessary, the processors themselves will notify you so that you can amend your application before it is assessed. If the option to attach is not available, you should contact the centre responsible for your application.

Go to your personal space and look for the request in the record history. Click on the PDF icon on the “Acknowledgement” column to download the file on your computer.

You can also recover the PDF acknowledgment from the document verification page in the UV Online Office by entering the following data:

• Document ID.
• Verification code.

Documents related to the electronic procedures published in the catalogue of electronic procedures and services of the Office can be submitted. They are available from the 'Procedures' and 'E-Services' tabs in the main menu.

To submit an application or communication on a matter for which for which there is no specific form available, there is a procedure named ‘General application’. If it is used to request a procedure that has a specific form, the managing body may require the specific form to be submitted in order continue with the procedure. However, the date of submission of the initial general application shall be valid for the purposes of calculating time limits.

The receipt of applications, documents and communications presented in the Electronic Registry shall be deemed to have taken place when a receipt certifying their submission is shown to the person concerned in the form of an automatic reply. It consists of a certified copy of the document concerned, stating whether the request has been registered correctly, the date and time of submission and the log entry number together with a secure verification code (CSV) for the validation of the document. The receipt of any accompanying documents, where appropriate, shall also be attested, and their integrity and non-repudiation shall be guaranteed.

If the document has been registered, but, for technical reasons, the person concerned is unable to obtain proof of submission or a receipt, she or he may obtain it at any time under the corresponding application number.

If the person concerned receives an error or transmission failure message, it means that the Electronic Registry has not received the application, document or communication, so the he or she must submit it at another time or by other means, if applicable.

No, you can only submit applications, documents and communications related to those procedures and formalities within the scope of the UV and that are published in the catalogue of procedures and electronic services of the Online Office, accessible from the tabs Procedures and Electronic Services of the main menu.

Exceptionally, when a regulation or public announcement expressly and specifically establishes the possibility of submitting a document, application or communication addressed to a public body, entity or organisation other than the University of Valencia to the General Electronic Registry of the University of Valencia, as it is a matter specific to the university and linked to the public service of higher education, this submission will be accepted and may be made in person at the registry assistance offices.

Yes. It will be possible to submit requests all day and all year, although for legal purposes, a request will be considered as carried out at 0:00 hours and one second on the first following working day, unless there’s a norm expressly allowing for reception in a non-working day.

Access your personal space by clicking on the “My procedures” icon.

Click on the “Record history” icon.

In it, look for your request. Resolutions can be found in the “Resol.” column.

If you click on the “Resol.” column icon, a PDF file will download on your computer.

The legally-validated date and time are the ones shown in the Office, not the ones shown by a user’s personal device. For this purpose, the date and time of the moment in which registration is carried out will be taken into account once the request is signed and submitted to the Electronic Registry. Said date and time will appear on the submission receipt issued by the Office once the procedure is finished.

The official Date and Time can be checked in the UV Online Office menu.

If you would like to read and respond to a notification, please follow the steps below:

1. Access your personal site by clicking on the icon 'My procedures'.
2. Authenticate yourself in the same way you made the notification request. To view your list of notifications, click on the "Notifications" icon.
3. On the loaded page, identify the notification in the list of your notifications.
4. Read its contents by clicking on the icon of an envelope with a green arrow.
5. Accept as read.

A PDF file is now automatically downloaded with the notification information and any possible attachments sent by the form submitter.

To respond to the notification, you must click on the icon that will appear in the "Respond" column. It is a rectangle with a triangle pointing to the right.

6. You may have been asked to provide documentation in the notification, and if so:

 For each file you wish to attach:

1. Click on the "Attach new file" button.
2. Click on the 'browse' button and choose the file stored on your computer.
3. Indicate what you think is necessary in the text field "Remarks".
4. Click the "Submit" button.

7. When all the required documents are duly attached (they will appear in the list at the top of the screen), click on the "Notification attended" button. Please note that by submitting here your file, it will be sent back to the processors, so you should ensure correctness before submitting it.

Once you receive notification that you have a document to sign on your personal site, you must log in.

Access the main menu of the Online Office by clicking on the header image ‘online officeuv’ to go to the home page and then click on the icon ‘My procedures’

Now click on the icon ‘Signature Holder’.

If the system requires it, identify yourself in the same way as you did when you made the request for the document to be signed.

Now find the document to sign and select it. Click on the bottom button 'Sign'.

PDF Signing Applet Manual

If you have provided an e-mail address, you will receive a notice that the notification is in the electronic notification box at your disposal.

The electronic notification is an administrative communication of legal value, it has all legal guarantees and replaces the paper notification sent by post, provided that it is expressly requested or is one of the parties obliged to process electronically.

When you apply for any procedure, you are always asked how you want the Universitat to communicate with you. If you do not choose to be notified on paper, you will automatically be notified electronically.

You have 10 calendar days (including weekends and public holidays) to access the notification deposited in the ‘Notifications’ tab, which can be accessed from ‘My procedures’ option in your Office private area. The reading of the email sent with the notification notice does not imply access to the notification itself. Therefore, the following situations may occur:

• Notification accepted: You have accessed the notification and read its contents. It is deemed to be executed for all legal purposes and the Universitat continues the corresponding procedure. You have been notified.
• Notification rejected without access: If the notification itself is not accessed within 10 days, you will be considered to have been notified. It is therefore important that when you initiate any procedure, you provide all your details correctly. It is deemed that an attempt has been made to notify you, but you have rejected it, and therefore the procedure continues.

Important:

• The notice received by e-mail indicating the availability of an electronic notification at the Office is not the notification itself, so its reading does not imply access to the notification.
• At any time, the interested party may inform the University that successive notifications will or will not be made by electronic means.

In your personal space of the Online Office:

1. Click on the “My procedures” icon
2. Click on the “Record history” icon

Once there, you’ll be able to see the status of recent electronically-started procedures.

If you can’t find any request, be sure you accessed the same way you did when carrying out said request. User access to the Office doesn’t show submissions that were carried out with the rest of authentications.

Paper copies of UV administrative documents that are issued by electronic means will be considered as authentic, provided they contain a printing of an electronically-generated code or other verification systems allowing to confirm their authenticity via access to electronic files of the University by means of the Online Office.

The secure verification code (SVC) allows to verify the authenticity, integrity and validity of a document’s signing, the former being originally issued electronically by the UV. This functionality is very useful when the electronic document issued by the UV was printed and submitted to another body or institution, so that said other organisation can confirm the veracity of the document that was submitted and check that it hasn’t been altered.

To carry out its verification, you will have to enter the code on the field provided by this Office’s document checker.

Go to the file history and look for the ID of the application you made to request the scholarship.

Click on the "act on the file" icon. Go to the Acceptance tab and check the corresponding answer.

Fill in all the form fields as required and finally go to the finish tab and hit the Save button.
