Voluntary temporary leave is the authorised and temporary interruption of doctoral studies, at the request of the doctoral student. During the period granted, their academic affiliation with the programme is suspended, as is the calculation of the deadlines for the submission and defence of the doctoral thesis.
This situation does not imply the loss of the place in the programme, and reinstatement will occur automatically once the authorised leave period has ended.
The doctoral student may request periods of temporary leave from the programme up to a cumulative total of two years.
This leave may be granted for a full academic year (from 1 October to 30 September), with the possibility of extension for an additional year - which will, however, require a new application - or for a specific period of between a minimum of three months and a maximum of nine months within the same academic year.
The granting of temporary leave from the programme means that, during the period of leave:
- The calculation of the maximum duration of doctoral studies is interrupted.
- The student's access to RAPID is blocked.
- Neither the research plan nor the activity document can be assessed.
- You cannot apply for recognition of coursework or submit your doctoral thesis whilst the interruption is in effect.
- Once the period of temporary suspension has ended, your registration is automatically reactivated, without the need for any further action.
Effects on fees: temporary leaves of absence of less than one academic year do not exempt students from paying the fees corresponding to academic supervision. If academic fees have not been paid, the authorised temporary leave of absence cannot be formalised in the doctoral student's file. Temporary leave of absence for a full academic year does exempt students from paying fees, provided that the application is submitted before 31 December of the academic year for which it is requested.
The doctoral student must submit a request for temporary leave, accompanied by a favourable report signed by their supervisor and director.
In addition, you must meet the following requirements:
- Have an assigned tutor and thesis director or, if applicable, co-director(s).
- Have obtained a positive evaluation of the activity document and the research plan in the last evaluation call prior to the withdrawal request
Applications for temporary leave of absence for a full academic year must be submitted between 1 October and 29 January of the academic year in which the leave is requested.
Temporary leave of absence for a shorter period during an academic year may be requested between 1 October and 30 June of the academic year in which the leave is requested.
The Academic Committee of the Doctoral Programme.
The process begins with an electronic application from the doctoral student, to which they must attach the form including the consent of their supervisor and director.
On this form, the doctoral student must indicate whether the leave of absence is:
- For a full academic year
- For a period shorter than a full academic year (minimum 3 months amd maximum 9 months within the same academic year). In this case, they must indicate the start and end dates of the temporaly leave of absence..
The Doctoral School will forward the application to the Academic Committee for a decision.
Once the Academic Committee has decided on the application, the School notifies both the doctoral student and their supervisor of the outcome.
The application form, signed electronically by the tutor and director, must be completed and attached via this procedure.
The form is available on the Doctoral School website: administrative information > guides and forms > Application for voluntary temporary leave.
Applications for temporary leave must be submitted exclusively via the UV Electronic Office, and within this, via the Electronic Registry.

If a PhD student wishes to revoke a temporary leave of absence once it has been granted, they must submit a request via the same online procedure, expressly stating:
- their intention to revoke the authorised temporary leave of absence, and the effective date of their return to academic activities.
Once approved by the Academic Committee, the decision will be notified and, where applicable, the enrolment will be updated and the corresponding payment receipts issued.
