According to article 24 of the Regulation on the awarding of contracts for scientific, technological, humanistic or artistic activities and specific training [ACGUV 172/2022 of 11 July, modified CG 2-VII-2024], the contract will be formalised in a written document, which must include:

a. name of the contracting entity or individual and, if applicable, tax information and legal representation of each party;

b. purpose of the contract with specifications regarding the rights and obligations of each party;

c. total duration of the contract, execution period and, if applicable, extension arrangements;

d. agreed amount, payment period and payment method;

e. composition of the team responsible for the contract, specification of each member’s category and role and identification of the researcher (PDI) who will be responsible for the contract;

f. technical report of the work to be performed or training activity programme;

g. ownership of industrial and intellectual property rights, where applicable;

h. legal framework and system for dispute resolution;

i. annex of any special arrangements made to execute the contract, if applicable.

 

Prior to signing, all contracts and agreements must be reviewed by the Central Services of the UV. They will verify that the documents comply with the standard models approved by the UV and the legal regulations that govern them, ensuring that the rights and interests of the Universitat de València are protected.

Therefore, in order to formalise a contract or agreement, you must submit a request to the Transfer and Innovation Service following these instructions.

1. Download the following documents, which will be included in the contract file.

• technical report

• estimated budget – for more information and clarifications, please refer to the Recommendations for drafting the budget of R+D+I activities

• statement of results

• responsible declaration of absence of conflicts of interest (DACI) – signed by every member of the UV participating in the activity.

2. Complete and sign the PDF documents, preferably using an electronic signature.

• the estimated budget must be sent in Excel format for the technical staff’s supervision;

• the DACI, once signed by all participating members of the UV, should be compressed into a single file (DACI.ZIP, DACI.RAR).

3. Save the documents in electronic format so that they may be attached to the electronic application.

4. Open the electronic application form.

5. Complete the online application form following the instructions indicated in the application guide.

6. Print the proof of application submission. Each application is identified by the acronym that appears in the upper right corner of the document. For example, in the acronym   the application number is 1532015.

 

Once submitted, the Contracted R+D+I Section will process the application in the order it was received. However, if the contract or agreement is the result of a public call for tender subject to deadlines set by the organising entity, the processing order may be altered. Bearing this in mind, please be proactive when completing the requirements for the formalisation of your activity.

After analysing the submitted documentation, the Contracted R+D+I Section will prepare a contract that best suits the described consideration or collaboration.

Before signing any agreements or contracts under current university legislation, signed authorisation certified by the secretary of the relevant department, university research institute or ERI, must be submitted in order to continue the procedure. The technical staff who processed your application will send you a draft of the contract/agreement, so that the PDI responsible may submit this draft, along with the rest of the documentation, to the relevant authority to receive the required authorisation and signature.

If the PDI responsible conducts research activity at an institute or ERI, they must inform their teaching department of this authorisation so that the department may make any necessary decisions. To process the contract, the PDI responsible must provide evidence of this communication to the Contracted R+D+I Section.

You will be notified of any application-related incidents through the Online Office. You can access the Online Office through your ‘Personal site’ by clicking ‘Notifications’. You will also receive an alert email to your UV email address in addition to the electronic communication or notification. You can also check the processing status of your request or add additional documentation through your ‘Personal site’ by clicking ‘Academic records history’.

*Procedure applies to contracts under article 60 of the LOSU, as well as agreements, general action protocols and mixed and associated units, in accordance with the current applicable regulations. Institutional chairs are exempt from this procedure and have their own regulations.
