  • What are the main features of GEISER?

    • GEISER (Integrated Registry Services Management) is the solution which provides the services of electronic registry, on-site registry, and exchange of internal and external registers for the University of Valencia.
    • It works as a cloud service which covers  both the management of UV head and auxiliary registry offices and their auxiliary registry offices for incoming/outgoing documentation, as well as the reception and sending of records in the processing units to which they are sent.
    • It only requires Internet connection points in each of the registry offices from SARA (Networking and Application Systems for Spanish Public Administrations), digital certificate for the registry staff and scanning devices (scanners).
    • GEISER has its own register book, so it can be used both for the registration of own entries as well as for those addressed to other administrations (through the SIR platform).
    • It has web services which allow GEISER information to be used by other systems or applications.
    • It allows distribution of the registry entries to the documentation processing units (any UV organ, service or unit).
    • Its use is currently offered to public administrations by agreement.
    • It allows both the traditional paper-based management and the digitalisation of the documentation submitted, complying with the Spanish Technical Standards for Interoperability and being fully legal guaranteed.
    • It allows exchange with other bodies integrated in the SIR (Registry Interconnection System) platform, as it has SICRES 3.0 certification, as well as managing the exchange of paper documentation with any unit of public administrative bodies.
  • What management solutions does GEISER cover?

    The GEISER application covers all documentation management needs presented by members of the university community (PDI, PAS, students and citizens related to the UV) in the university’s head registry office and its network of auxiliary registry offices.

  • What functionalities does GEISER offer for UV registry offices?

    • Registration of entries in the official register, allowing digitalisation of the documentation presented by university community members (PDI, PAS, students and citizens related to UV).
    • Sending documentation to any UV body, service or unit.
    • Exchange with other registry offices via the SIR platform.
    • Management of rejection and forwarding of entries.
    • Validation of outgoing documentation issued by the processing units (UV bodies, services or units).
    • Management of paper documentation mailing.
    • Register management: copy templates, listings, searches, editing, etc.
  • What functionalities does GEISER offer for UV documentation processing units?

    • GEISER entries, together with the corresponding documentation, reach the UV documentation processing units via VALIJA.
    • The receipt of documentation sent by a registry office is done from VALIJA and can be rejected or confirmed. If rejected, the entry is returned to the office which registered it so that it can forward the entry to the appropriate unit or just correct the entry appropriately.
    • Once converted into a VALIJA message, it can be forwarded to any unit of UV.
    • By means of forwarding, you can share messages associated to notes from VALIJA. In this way it is possible to exchange records with other UV bodies, services or units.
    • From VALIJA, and by means of special messages, official outgoing documentation can be generated, both for agencies with electronic format integrated in SIR, and for citizens.
  • What are the requirements for using GEISER?

    • The public entity must be adhered to the corresponding agreement (as it is the University of Valencia).
    • The entity must have users authorised for this purpose.
    • The office workers authorised by the entity must have valid digital certificates for the use of ORVE.
    • The registry office must have Internet connection or connection to the SARA network.
    • Registry offices must have equipment to digitalise documentation and transfer and complying with procedures for digitalisation and use of the offices integrated in SIR.
  • Which certificates are supported by GEISER?

    The certificate must be one of those included in the @Firma platform (ACCV, FNMT, e-DNI, etc.).

  • What do I have to scan in GEISER?

    • It is recommended to immediately scan the documents submitted by the members of the university community (PDI, PAS, students and citizens related to the UV), return the paper documentation to them and send the record in electronic format to the destination organisation.
    • It is recommended to scan the documentation in standard format (A4) or in other formats that can be digitised without impacting the queues.
    • It is recommended to digitalise the documents provided by citizens in batches according to the capacity of the scanner's automatic tray (normally around 50 sheets for desktop scanners).
    • The University of Valencia has certified digitalisation software parameterised specifically for the digitalisation process in its registry offices.
    • This software allows centralised control of the scanners and their digitalisation parameters: quality, colour, B/W, etc. This greatly simplifies the digitalisation process for UV staff.
    • This software allows the certified digitalisation (complying with ENI) of the documentation handed in by the citizen and, additionally, identifies the whole batch univocally with the citizen's ID number. This identification will allow our Registry Office staff to easily incorporate the documentation in the corresponding registry entry.
  • How do I indicate in the GEISER entry there is a paper document attached or, instead, that I have been able to scan everything?

    The field "Paper documentation" indicates whether the registration is accompanied by paper documentation or whether it can be processed entirely electronically.

     

  • Where and how do I send the paper documentation in GEISER?

    In the event paper documentation requires to be sent, the procedure will be asfollows:

    • Clicking on the Menu will open a tray that will show those dispatches of paper documentation of incoming and outgoing records that are pending dispatch or open and classified by destination Body, as well as dispatches that have already been closed.
    • Once the paper dispatch is about to be sent, the dispatch can be closed by clicking on the "Close dispatches" icon.
    • You can mark all the records of the sending or mark only those that are to be sent; you can then issue the envelope labels and the sending receipts.
    • Once the sending has been closed, clicking on "Print shipment report" will generate a report to be sent together with the paper documentation.
    • The system for sending documentation between the University's campuses will distribute the documentation or objects that correspond to the Registry Offices to which the destination unit is assigned.
    • The internal mail system of the office will physically deliver the objects and/or documents to the unit to which they are sent.
    • The unit of destination can only confirm a MIXED or PHYSICAL registration entry when it has in its possession the objects/documents referenced in the entry. At that moment it will confirm from VALIJA and in this way, the Office that made the entry will see the entry in its confirmed dispatches tray.
    • If the destination unit has not received the objects/documents referenced in the entry. You will not be able to confirm a MIXED or PHYSICAL registration entry. You will have to contact the Office to ask where these objects/documents are located.  If it was really a mistake or if they have been lost, you will reject from VALIJA that registration entry.
  • How to rectify a registry entry in GEISER?

    In GEISER, "rectification of a registry entry" is understood as the creation of a new entry, a copy of the previous one, which the registry user can modify, establishing a link between both entries so that it is easy to link the information from one to the other.

  • How to reject an entry in GEISER?

    If you want to reject an incoming entry, you must include the reason for the rejection in the "Comment" field, from this moment the entry will go to the Received/Rejected tray.

    THIS REJECTION WILL BE MADE FROM VALIJA.

    In the office of origin, the entry will appear in the "Pending entries/to be sent" tray, as it must be sent back to the correct processing unit, and likewise in the "Sent/Rejected" tray.

    From both trays the entry can be resent again.
