1. What is the Personalised PhD Student Activities Document?

The personalised activities document is understood to be the individualised record of the training activities carried out by the PhD student. This document will be regularly reviewed by the thesis advisor(s) and/or supervisor(s), and evaluated annually by the Academic Committee responsible for the PhD programme. The application form for evaluation can be found here.

2. What do I have to do during the first year of the PhD programme?

During your first year as a PhD student, you will have to:

  • Submit the document of documentary commitment duly completed to the Academic Committee.
  • Fill out the personalised activities document. To do this, you will have to contact your thesis advisor(s) and/or supervisor(s).
  • Carry out the activities planned in the personalised activities document. Obtain the certificates and/or assessment reports of each training activity.
  • Develop the research plan before the end of the year.
  • Enrol and, if applicable, to pass the bridging courses specified by the PhD programme.

3. How is my training programme and research plan monitored?

The Academic Committee of the programme will foreseeably open an annual deadline from 1 to 25 July for the evaluation of the training programme and the progress of the research plan. For this, you must submit the corresponding application form together with the supporting documentation and/or the necessary assessment reports according to each of the activities carried out.

From the end of the deadline established for the evaluation application, the Academic Committee of the programme has 15 working days to notify the result.
A favourable report from the Academic Committee on this personal activities document and the research plan will be required for enrolment in subsequent years.
In the event of a negative evaluation, which must be justified, the PhD student will have to be assessed again within six months. In order to do so they must develop a new research plan. In the event of a new negative evaluation, the PhD student will be definitively withdrawn from the programme. The interested party may lodge an appeal against these decisions, which do not exhaust administrative proceedings, which shall be resolved, following a report from the Postgraduate Studies Committee, by the Principal or the person on who he/she delegates.
Remember that it is very important that you provide the Academic Committee of the Programme with all the necessary assessment reports and/or certificates indicated in the programme of training activities.

4. What do I have to do during the years after the first year of enrolment?

During the years following the first year as a PhD student, you will have to:

  • Update your personalised activities document annually. To do this, you will have to contact your thesis advisor(s) and/or supervisor(s).
  • Carry out the activities planned in the personalised activities document. Obtain the certificates and/or assessment reports of each training activity.
  • If necessary, update the research plan.
  • If necessary, make a reasoned request for an extension to stay on the programme.
  • Each year you will have, foreseeably, a period from 1 to 25 July to request the annual evaluation of the training activities and the degree of development of the research plan.

5. How long can I go without enrolling?

You can apply for temporary leave from the programme for a maximum period of one year, extendable by up to a year. This request must be addressed to the Academic Committee responsible for the PhD programme within the usual deadline (from 1 to 25 July) established for the annual activity report by the Academic Committee.

6. What do I have to do in order to have a stay in international research centres recognised as a training activity of the PhD programme? Can it be used to be eligible for the title of Doctor with International Mention?

The Academic Committee of the Programme will authorise the stay and the activities carried out in an international higher education institution or in an international research centre. It will also indicate whether these activities are considered appropriate for the purpose of awarding the title of Doctor with International Mention. The stay must have a duration of at least 3 months in order for the student to be eligible for the title of Doctor with International Mention. For this, the PhD student must submit their application to the Academic Committee of the Programme with the approval of the thesis advisor(s) and/or supervisor(s) at least fifteen days before the start of the stay. At the end of the stay, the advisor and/or supervisor of the host institution will have to confirm the stay and give their approval of the work carried out by the PhD student through a signed document. At the end of the corresponding year, the Doctoral Studies Academic Committee will include it in the student's Personalised Annual Activities Document.
