Advices on illustrating calendar events

The events of the UB Agenda represent one of the best tools for the promotion and dissemination of activities organized by the centers, departments, services, and other units of the Universitat de Valéncia; however, the inappropriate selection of images to illustrate these publications will have a negative impact on their effectiveness and reach.

All UV users who are members of the administrative and support staff (PAS), academic staff (PDI), or research staff may submit calendar events, which the Web and Marketing Unit will review and approve for publication. This approach helps widely publicize the events among the university community and the general public, while also providing a comprehensive schedule. But the authors of the agenda events have the responsibility of maximizing the impact of these publications by paying close attention to the content, providing as much detail as possible about each event, and, above all, selecting the appropriate visual material, because an inappropriate illustration will limit the publication’s reach.

For a calendar event to reach the widest possible audience, it is essential that the accompanying image be free of text, signs, logos, or other symbols. Avoid using complex images, and do not attempt to convey through them any information about the what, how, when, and where—details that are already sufficiently explained in the event’s headline and elaborated upon in its content. An image containing text about the event’s title, nature, venue, or dates will result in a repetition of information that is already required to be included in the publication’s headline. Therefore, when faced with a complex illustration cluttered with unnecessary elements unrelated to the image itself, the validator will demote its placement, thereby limiting its impact. 

And this is not merely a matter of aesthetics. An image overloaded with text makes it difficult to comply with the University of Valencia’s accessibility guidelines for its website and mobile apps, which aim to ensure equal access to all website content for all users.

On the contrary, a high-quality image chosen appropriately based on the publication’s theme will surely occupy a prominent place in the list of calendar events.
