The unit will check the request and the documentation, for then passing onto the next phase accordingly. During the processing it’s possible to generate reports, create notifications or communications and lastly, a signed or unsigned resolution by the direction or stamped by an authorised body will be generated and forwarded to the applicant.
Unit members will carry out the record’s procedure following phases in order.
A phase can be passed onto depending on the one that’s being carried out at that moment.
A phase can be advanced by uploading a document for it to be electronically signed by the appropriate manager.
As soon as that’s done, the document will appear on the record inside the documents section and it will be available for use whenever it’s required.
The manager will keep advancing the phases at the same time that the processing is carried out. Each action will appear on the “My personal space” section of the citizen who carried out the request and on the message status.

It will be possible to:

  • Access the citizen’s request.
  • Edit some request fields for correction.
  • Access the citizen’s documentation attached to the initial request, to notification answers or later attached by the citizen with the enabled option given by the Online Office.
  • Advance to following phases
  • Advance to following phases by uploading a document requiring an electronic signature.
  • Create and manage notifications.
  • Create and manage notifications with a previously uploaded document.
  • Attach documentation or reports to the record.
  • Check the record’s history.
  • Create notes for future managers in charge of the procedure.

Getting to one of the final phases will mark the end of the procedure, with one of them being, in this case, the commonly known phase 31 - expressed resolution. The management unit can finalise the procedure by granting passage to a final phase. This is normally carried out by creating a notification on the procedure resolution. The latter can be generated on another system as a signed doc or pdf file. Final phases are marked with * and they always generate a resolution document to be sent to the applicant. A signature by the latter may or may not be necessary. The system will always sign the notification (but not the resolution it contains).
It must also be taken into account that a wrong recipient might have possibly been selected. Or it could be that the request it’s not adequate for the selected procedure. In this case, the associated electronic record must be advanced to CANCELLED and the applicant must be notified of it via a resolution. Another option would be to redirect the message to the correct functional unit.
Advancing to “cancelled” is a final phase of the record.
