Style rules and recommendations are exposed when completing the event form for the UV Corporative Agenda. The characters limitation must be scrupulously fulfilled because the visualization of the web is determined by it. The characters in Spanish is usually larger.

Information

Title

  • Preferably, the form must be filled in the three languages.
  • The maximum number of characters is 80, but it is advisable that it does not exceed the 60 characters to maintain the cohesion when publishing it.
  • It makes reference to the name of the event   (of the conference, the book which is presented, film, theatre play, etc.), but if it is very long, the type of event is written as the title and on the first paragraph (next field) the name is concreted.
  • Generally, capital letters shall not be used, but the initial letter of the first word.

Description

  • There is no maximum number of characters.
  • The first paragraph must include:
  • Type of event: cinema, debate, book presentation, concert, talk, etc.
  • If it belongs to a cycle, it must be indicated.
  • The interveners, if we have that information.
  • It is advisable that the description is drafted with all the information we have so it is as complete as possible. However, not exceeding. If we have too much information,  we must use the option attach a document (field below)
  • If necessary it is possible to make clarifications about schedules in this section because there are very complicated events when establishing the periods.

Type of event

They show us different types of events and we have to choose the one (s) most appropriate by pointing to the checkbox.

Place

  • There is no maximum number of characters.
  • It is advisable to put all the indications necessary for the place but concisely.
  • Do not use acronyms.

Contact address

This is de generic email of the organising entity or the person in charge of the diffusion and / or creation of the event.

Organise

  • There is no maximum number of characters.
  • It is advisable to put all the entities that organize but concisely.
  • Do not use acronyms.

URL of the event / URL of the organization

  • It is advisable not to leave these fields blank, or at least one of them, because when “painting” it leaves a space in the tab where it says "More information" and is blank if we do not add it.
  • It must be linked with the page where more information can be found. Or the event in particular, if it has, or the entity that organizes it, or better even the two of them.

Attach document

  • The option to browse appears. Then, if we have a document to expand the information about the event we want to  broadcast, it will only have to be added from the  location it has.
  • It appears in the "More information" section next to the URL of the event  and / or  the URL of the  organization. As we have already said, when we can have it much better because the reference to the event is more complete.

Image

  • The option to browse appears.  Then, if we have an image to illustrate the event  we want to broadcast, it will only have to be added from the location it has.
  • The format should be:  "jpg",  "gif" or "png"
  • The manager places it directly in the reserved space when painting.
  • It is imperative to add images because visually it is much more enriching.
  • The image should be 850x596 pixeles. 

Alternative text to be accessible

  • It is a mandatory text that refers to the image in case we have it.
  • It serves for people with visual impairment when they use their  browsers click on  the image, it reads the text.
  • It should be a short text that describes the image but at the same time refers to the particular event.

Periods

Event period

  • The events can present a casuistry very varied regarding the determination of the duration in time and schedule.
  • Usually, the event is performed on a specific day and on  a established schedule.
  • For this reason,  this section is expressed as  mandatory fields.
  • Date, day of the week and schedule. Regarding the schedule, the start and end date must be indicated.
  • If the end date is unknown,  an approximate date shall be indicated.
  • The calendar is used to choose the day. The schedule  is put on hand using the band.
  • To choose the day  of the week is selected from the box. 
  • When marking, it turns  blue. If we want to add another day, we must  mark pressing and holding the CTRL key. If we do not do it like that , it will remove the previous one.

Application form

Case 1: Conference. Tuesday 23 November from 17:00h. to 18:30h.

This is the most simple and easy example.
In the first period, the same start and end dates are set, it is indicated on the repetition days, only on Tuesday, and with respect to the time, the start time and  the end date (if it is not known, an approximate date shall be indicated).

Other periods (optional)
Hereunder we raise different cases that can be presented with the events with come complexity when inserting the temporary data.

Case 2: Course. Tuesday 23 November from 10:00h. to 13:00h. and from 15:00h. to 20:00h.

A single period is established from 10:00h. to 20:00h. and  in the description section it is indicated the complete schedule with detail explaining the interruption of ´midday.
It is indicated on days of repetition, on Tuesday.

Case 3: Exhibition. From Friday 2 December to Sunday 18 December. Closed on Mondays. Tuesday to Saturday is from 10:00h. to 14:00h. and from 16:00h. to 20:00h. And on Sundays, only tomorrow's schedule: 10:00h. to 14:00h.

First period,  starting date 2 December, end date  18 December. Every day shall be marked except from Mondays and Sundays. Schedule  from 10:00h. to 20:00h. The full schedule with the midday interruption is explained in the description.
Second  period, starting date 2 December, end date 18 December. Sunday is indicated as day of repetition and the schedule of  10:00h. to 14:00h.

Case 4: Course. From Tuesday 15 November to Friday 23 December. From Monday 9 January to 20 January. Monday and Wednesday, from 15:00h to 18:00h and Tuesday and Thursday, from 10:00 to 13:00h.

The two time periods are clear: from November 15 to December 23  and from January 9 to 20 . But we have  two different schedules throughout the week, so we  must describe in a very concrete way the schedules established according to the days of the week in the description section.
Another option is to do two events. One for the first part of the course and another event for the second part (this explanation must be included in the description). And set two periods of events  (the same dates) but marking the  different days with  different schedules. It should be pending and when the first event "expires" is copied but the dates are modified.

Case 5: Theatre. From Thursday 15 December to Sunday  18 December. Thursday and Saturday: 2 performances. At 19:00h and at 22:00h. Fridays: 1 performance at 19:00h. Sunday: 1 performance at 22:00h.

The period is clear: from 15:00h to 18:00h December. This repeats on the two periods.
On the first one, Thursday, Friday and Saturday: at 19:00h shall be selected. And  we calculate 2 hours approximately for the finishing. To  21:00h.
On the second one, Thursday, Saturday and Sunday: at 22:00h shall be selected. And we calculate 2 hours approximately for the finishing. To 00:00h.

Case 6: In the case of exhibitions, the opening is usually done at a different time than  the one that is later indicated  when visiting. Two options:

a) If we have the specific information of the opening: audience, schedule of events, etc.
It would be interesting to set  two events: One for the inauguration and another for the exhibition to be extended in time
b)If we do not have specific information about the inauguration, we include in the description the date and time of  the act.
From this example, the casuistry can be further complicated. In these cases, we set in a single period the start date and  the end date, and an approximate schedule. Indicating that the schedule must be  consulted in advance if all the information is available, specify it in the description field in detail.
If the finishing does not correspond to the same starting day, it must be known that the manager  will keep the event published by renewing the date in the agenda day by day until the deadline is reached.
The time must be set with minutes,  with the option  of: 00 or: 30
Remember to leave the seconds to 00.

Contact details of the person who sends the event

Finally, there is a form in the annex to facilitate the contact between the coordinator of the corporate agenda  and the person who creates the event. It is very important to have all the data because it can be quickly contacted if it is necessary to do so. And in the section of observations we can make all the indications that the person proposing the event considers appropriate.
